BYO Our reception rooms are fully licensed and therefore BYO is not permitted.
CANCELLATION All cancellations must be in writing and all deposits are non-refundable (subject to re-sale). If cancellation is received after confirmation of numbers and final payment the Management reserves the right to retain all money paid.
DEPOSITS Confirmation in writing and a deposit of $500.00 is required within two weeks of making the reservation. Three (3) months prior to the wedding date we require fifty (50) percent of the total cost to be paid. Management reserves the right to cancel any reservations not held with a deposit by the due dates. A signed copy of your wedding contract is also due within two weeks of making the reservation.
MIDWEEK WEDDING SPECIAL DISCOUNT We are pleased to offer a 10% discount on your weding expense within Hunter Valley Gardens (not including beverages. Midweek is defines as Monday-Thursday).
SUNDAYS AND PUBLIC HOLIDAYS Please note a 10% surcharge applies for all functions held on Sundays and public holidays.
DURATION OF THE FUNCTION Whilst we do not charge room hire for wedding parties, weddings requesting more than 6 hours use of the Garden Terrace will be required to pay an additional $200.00 per hour (until midnight). Functions continuing after midnight will incur a $300.00 per hour charge.
FINAL NUMBERS We require confirmation of numbers seven (7) working days prior to your function, which will confirm the minimum numbers to be catered and charged for.
FINAL PAYMENT Payment of all outstanding amounts (except the Liquor account) is to be made seven (7) working days prior to your function. We advise you not to underestimate your numbers or we may not be able to cater for large increases.
Liquor accounts must be paid on the night of the function. Personal cheques are not accepted without prior arrangement.
GST All prices quoted in the wedding kit are inclusive of GST. GUEST NUMBERS Fifty (50) guests is the minimum number of people required to hire the Garden Terrace. This may be the minimum number of guests charged.
INSURANCE Although all reasonable care will be taken, Hunter Valley Gardens Lodge and Conference/Function Centre, and Hunter Valley Gardens the commercial gardens) cannot accept any responsibility for property lost or damaged prior to, during or after the function.
The client will be financially responsible for any loss or damage sustained to the property during their function.
PRICES Whilst every effort is made to maintain prices, they may be subject to alteration prior to your function.
THE GARDEN TERRACE The following conditions apply to all functions held in The Garden Terrace, within Hunter Valley Gardens: 1. The Garden Terrace is only available from 6.00pm. 2. Access to the gardens during your function is restricted for your guests. 3. The client will be financially responsible for any loss or damage sustained to the property (including the gardens) during their function.
UNFORSEEN CIRCUMSTANCES Due to any unforeseen circumstances or accidents, the venue reserves the right to cancel any booking and refund any deposit at any time.
